Overview:
The Patient Access Advocate II is an essential component of our front office operations, requiring you to build upon your customer service and medical technology expertise while serving as the key intermediary between patients and the clinic. This position involves prioritizing exceptional customer service, verifying insurance details, managing referrals, and potentially mentoring newly hired Patient Access Advocate I team members to help them thrive in their roles.
Responsibilities:
Helps patients with the registration process by verifying patient demographics and insurance details to ensure accuracy in payment processing and insurance billing.
Guides recently hired workers in completing registration processes. Adheres to established procedures for obtaining and recording co-pays, processing payments, and evaluating accounts for delinquent balances. Complies with the regulations outlined in the No Surprise Act.
Accountable for the upkeep of an accurate cash register and the preparation of daily deposits while adhering to end-of-day protocols.
Ensures compliance with scheduling practices for individual or multiple clinics, including arranging return visits, referrals, and diagnostic tests. Provides support to new hires in booking appointments effectively.
Consistently follows established office guidelines for managing incoming calls, messages, voicemail, and emails, and arranges any required follow-up as necessary.
Handles referrals management and acquires pre-certification if required, then alerts the pre-certification coordinator for subsequent attention.
Follows Steps of Service procedures to enhance guest satisfaction. Resolves conflicts effectively to maintain a positive environment.
Offers training to newly hired personnel on basic clerical support duties including paperwork management, medical record handling, fax operations, document scanning, filing procedures, and typing responsibilities.
Delivers new patient information promptly. Sends out new patient packets via mail and contacts individuals scheduled for appointments one day in advance. Abides by the protocol for missed appointments by promptly sending out notifications and documenting instances of patients not showing up.
