Job Description
As an Accounts Payable Specialist, the role involves aiding in the prompt and precise processing of payments for the organization's operational and capital needs. This position works under general supervision and includes verifying that invoice charges align with approved purchase orders and receipt of goods or services.
Essential Job Function:
- - Aids in ensuring that invoices, credit memos, and relevant paperwork are processed correctly and promptly, involving tasks like categorizing, confirming, and directing these documents through the ERP System.
- Supports in the onboarding process of fresh suppliers and overseeing supplier documentation to confirm its completeness and correctness, including gathering tax documentation such as W-9/W-8 forms, comprehensive bank particulars, and supplier contact details.
- Reviews supplier statements and the invoice history report to analyze and rectify any variations that are impeding the on-time and correct settlement of invoices.
- Handles inquiries from suppliers and internal team members promptly, positively, and cooperatively.
- Provides support with the handling of physical mail by scanning it, preparing checks for mailing, and investigating returned correspondence or payments for possible reissuing.
- Executes supplementary responsibilities as instructed.
Education:
Required: High School Diploma or equivalent.
Experience:
Required: 3+ Years
Preferred: 2+ Years of OCR Tool Experience
