Job Description
In this role, the Correspondence Representative is tasked with accurately sorting and delivering incoming correspondence. This position operates under loose supervision, opening mail on a daily basis, preparing checks and duplications for cash posting activities, and maintaining the mail log within specified deadlines. The work schedule for this role spans from Monday to Friday, running from 8 in the morning until 4 in the afternoon.
Essential Job Function
- Processes incoming letters quickly and checks the clarity of duplicate checks to validate the presence of account numbers and vital data needed for the accurate completion of financial transactions and error prevention in cash posting activities.
- Finds, examines, and manages patient payments that arrive by mail to guarantee the correct and timely allocation of payments, uphold precise financial records, and maximize patient approval.
- Gets mail ready for delivery by identifying situations where rejections are necessary and dispersing letters to the suitable departments for examination and action, assisting in the efficient addressing of patient issues and avoiding hold-ups.
- Keeps detailed, clear, and current documentation in line with payment posting procedures to assist in the accurate identification and validation of reimbursements.
- Upholds comprehensive and current record-keeping practices aligned with payment posting guidelines to uphold precise and streamlined financial procedures and minimize challenges such as delayed payments or heightened refusals.
- Complies with all corporate rules and regulations, such as those outlined in the Health Insurance Portability and Accountability Act (HIPAA), to uphold patient privacy and ensure the security of confidential information when managing communications and delicate patient data within the healthcare sector.
- Handles other responsibilities as delegated.

- Required: High School Diploma or equivalent
